Wellspring, an essential part of Main Line Health’s internal communication network, previously relied on the SharePoint Classic intranet platform and MLH2Go, a social engagement tool by Social Chorus. However, as these platforms became outdated and ineffective, it became necessary to implement a digital overhaul to improve workplace communication and collaboration.

The Challenge

Wellspring faced several challenges. The existing systems were incompatible with modern tools like Microsoft Teams, essential for effective communication in the fast-paced healthcare environment. The lack of integration resulted in difficulties for employees in accessing and sharing information swiftly and securely, posing risks to productivity and patient care coordination.

Collaborative Planning

To address these challenges, Wellspring and Changing Social collaborated closely. Together, they identified the pain points of the existing systems and defined the scope and expectations for the new SharePoint Online and Viva Engage platforms. Their collaborative approach ensured that the solutions were tailored to suit the specific needs of Wellspring’s dynamic healthcare environment.

Strategic Implementation

The migration to SharePoint Online was strategically planned to align with Wellspring’s internal workflows and the specific needs of its healthcare staff. Changing Social’s team designed a user-friendly interface to ensure the new system was intuitive and accessible through Microsoft Teams, enabling real-time communication and collaboration. Simultaneously, a new Viva Engage community was developed to facilitate more robust internal communication and community engagement, replacing MLH2Go with enhanced features and deeper integration with the SharePoint environment.

Overcoming Challenges

Several significant challenges emerged during the project, including technical limitations related to Microsoft’s product functionalities and complex data migration. The project team and technical experts diligently addressed these to ensure the new systems worked optimally within the Wellspring environment.

Impact and Results

Introducing the new SharePoint Online and Viva Engage platforms at Wellspring led to a significant transformation. The seamless integration into Microsoft Teams and the intuitive design improved user experience, resulting in faster decision-making and enhanced collaborative efforts. The Viva Engage community became a vibrant hub for Wellspring staff, fostering a stronger sense of community and improving employee engagement.
