Microsoft 365 never stands still, and neither do we, so we are going to let you know our favourites from 202515 of Our Favourite Microsoft 365 Tips.
Over the past eight months, Microsoft has quietly rolled out a series of clever new features across Teams, Outlook, OneDrive, and more. Some make life easier, others save valuable time, and a few are just too good not to share.
So, we’ve gathered our 15 favourite new tips that will help you work smarter and make the most of your Microsoft 365 tools.
1. Let Copilot Summarise Your Meetings
The new Copilot updates can now summarise your recent meeting history, capturing actions, key points and outcomes automatically. After a Teams meeting, simply ask Copilot to give you the top three takeaways. It’s like having your own digital assistant take notes, leaving you free to focus on what matters.
2. Keep Meetings on Time with the Teams Countdown Timer
If your meetings tend to run a bit too long, this one’s for you!
Teams now includes a built-in countdown timer that appears right in your meeting window. Set it for each section of your agenda and keep your discussions short, sharp, and productive.
It’s a small feature that makes a big difference for structured conversations.
3. Multitask Easily in Outlook Mobile
We’ve all been halfway through an email when something urgent pops up. The latest Outlook mobile update lets you minimise your draft and come back to it later without losing your work. Perfect for those days when your attention is being pulled in every direction.
4. Search Smarter in OneDrive
OneDrive has had a Copilot-powered boost.
You can now search not only by file name but by content and context. Ask Copilot to find the latest version of a document or even summarise what’s inside. No more endless folder hunting or version guessing.
5. Save and Reuse Email Templates
The new Outlook for Windows now supports custom email templates. If you send regular updates, project recaps, or recurring communications, this feature will save you loads of time. Create your message once, save it as a template, and reuse it whenever you need. It’s consistency and efficiency rolled into one.
6. Ask SharePoint Agents Directly in Teams
SharePoint has joined the AI conversation.
You can now interact with SharePoint-based knowledge directly inside Teams channels using agents. Ask questions, get document summaries, or surface the latest updates without switching apps. Its collaboration made easier for hybrid and remote teams.
7. Keep Files in the Cloud by Default
A useful governance update now allows administrators to restrict file saving to cloud locations only.
This ensures that everyone’s work is stored centrally and backed up securely. It helps eliminate confusion caused by multiple local versions and ensures that your organisation’s data stays in one safe, accessible place.
8. Control Where Teams Notifications Appear
Distractions are productivity’s worst enemy, but Teams now gives you more control over where notifications appear. Choose to have them show in the bottom corner of your screen, move them to the system tray, or turn them off completely during focus time. It’s a simple change that supports better concentration.
9. Use Quick Parts in Outlook
If you find yourself typing the same phrases repeatedly, Quick Parts in Outlook is your friend. Save snippets of text that you use often and insert them into emails with a click. From greetings to sign-offs, Quick Parts helps you respond faster and more consistently.
10. Explore Agent Mode in Word and Excel
Copilot’s new Agent Mode is a powerful step forward in automation. In Word, you can prompt it to draft reports or briefs. In Excel, it can generate forecasting sheets or highlight data trends. It’s like having an expert assistant ready to do the heavy lifting, while you review and refine the results.
11. Smarter Search with Copilot in Outlook
Outlook’s search has levelled up with Copilot integration. When you search for a topic or name, Copilot gathers relevant messages, documents, and meeting notes into a handy summary in the sidebar. Instead of hunting through dozens of emails, you get the context you need instantly.
12. Add Approval Steps in Intune
For those managing devices through Microsoft Intune, and for those who don’t know what Microsoft Intune is, it is a cloud-based service that helps organisations to manage and secure devices. You can now add a second layer of approval for critical actions like device wipes or role assignments.
This “four eyes” approach reduces the chance of accidental deletions or unauthorised changes. It’s governance that gives everyone more confidence.
13. Strengthen Data Protection on Mobile
Outlook mobile now supports data loss prevention (DLP) policies, giving users a warning when they’re about to send sensitive information. This brings mobile security up to the same standard as desktop, so you can work on the go without risking compliance issues. A great update for organisations that value security.
14. Follow the Thread in Teams
Ever received a forwarded message in Teams with no clue what it’s about?
Microsoft has fixed that. Forwarded messages now include a link back to the original chat or channel, giving you the full context instantly. It’s a small but thoughtful tweak that makes communication clearer.
15. Create and Track Newsletters in Outlook
A new feature in the updated Outlook allows you to create and distribute internal newsletters. You can design them beautifully, send them to your chosen audience, and even track engagement.
It’s perfect for internal communications, whether you’re sharing company updates or celebrating team achievements.
Why These Updates Matter
These updates may sound like small tweaks, but together they make Microsoft 365 more intuitive, collaborative and more importantly, secure.
Copilot and AI continues to reshape the way we work by turning natural language into powerful action.
Teams and Outlook are focusing on reducing distraction, improving accessibility, and encouraging smarter communication.
And tools like OneDrive and Intune are helping organisations stay compliant and organised while empowering users to work flexibly.
Microsoft is moving towards a more connected ecosystem, where data flows effortlessly between apps and AI fills the gaps between people and processes. Whether you’re a manager, a creative, or part of a technical team, these features help you spend less time searching, clicking and repeating, and more time doing.
How to Bring These Tips to Life
If you want to make the most of these updates, start small. Choose two or three solutions that address a significant challenge for your team. Maybe you need better meeting summaries, or perhaps you’re drowning in email chaos. Try one feature, test it for a week, and share your results. You’ll soon see how much more efficient your workflows become.
At Changing Social, we always encourage clients to take a people-first approach to digital transformation. Tools are only as powerful as the people who use them, and every new feature in Microsoft 365 is an opportunity to build better habits. Encourage your colleagues to explore these updates, share their own discoveries, and celebrate those small wins that add up to a significant impact.
Microsoft 365 continues to evolve at a rapid pace, and there’s plenty more to come with AI, automation and accessibility improvements on the horizon. Keep an eye out for the next wave of updates and remember that a few clever tweaks today can make a huge difference.
